Sales Administrative Associates perform office administration work that is essential to the operations/sales teams of Melton Truck Lines.
This internship will be on-site at our Tulsa headquarters. The preferred shift is Monday-Friday 7am to noon but can be flexible based on candidate needs.
Essential Duties and Responsibilities:
- Coordinates with internal and external parties to facilitate various forms of documents (Customer Contract Agreements, pricing contracts, accessorial agreements, etc. through the following stages: review and revision; execution; and implementation.)
- Drafts and reviews of both standard and non-standard documents to ensure business terms are acceptable to the company and interface with internal parties, including the Senior VP of Sales and other departments. Verifies that all necessary specifications are appropriate and acceptable.
- Ensures that all documents are executed and approved in accordance with company policy. Assisting Sales Representatives and the Pricing Department by assuming responsibility for correspondence, contracts, rate quotes, agendas and interfacing with customers who call in.
- Review non-Melton contract rate schedules, fuel surcharges, accessorial charges etc. to ensure they are following Melton’s policies.
- Distribute signed contracts to the billing department reflecting pricing updates to ensure correct invoicing
- Proposal & Addendum Tracking Log – Track proposals sent, contracts received and cancelled proposals.
- Billing Report - Missing Rates report dissects all shipments that are moved without a contract in place.
- Sales Representative Expense Log – Track Reps, customer entertainments, expensed meals, etc.
- Organizing Customer Events – Help organize and plan events, luncheons, sales conference, SSS Training, etc. when requested by the sales representative or VP of Sales and/or Director of Sales.
- Upon request of the Sales Representatives - help to book their travel accommodation.
- Work to resolve billing disputes.
- Research products/items for customer entertainment/giveaways.
- Prepare updated documents for clients – Certificate of Insurance, Service Roster, Carrier Packet, Portfolio, Load tracking, etc.
Qualified candidates are currently pursuing a Bachelor’s degree in Business Administration, Sales, or a related field. Candidates should demonstrate strong organizational skills and an interest in contracts, project coordination, or sales operations through coursework, internships, campus leadership, or part-time work experience. Prior administrative, customer service, or office experience is a plus, but not required.
