HOW YOU’LL ADVANCE OUR MISSION | POSITION OVERVIEW 


The Donor Operations Analyst plays a critical role in ensuring the timely, efficient, accurate, and scalable processing of donor contributions and grantmaking activities. This position sits at the intersection of finance, development, and technology, with a strong emphasis on automation, process improvement, and data integrity. 

The ideal candidate brings analytical rigor and systems thinking to streamline gift processing, enhance donor experience, and optimize workflows in a high-volume, complex nonprofit environment.


YOUR UNIQUE IMPACT | ROLES & RESPONSIBILITIES 


Gift Processing & Donor Operations

  • Oversee and directly support end-to-end gift intake and processing, including cash, checks, credit cards, ACH, wire, interfund transfers, stock, illiquid and in-kind donations, with responsibility for hands-on gift entry as needed
  • Ensure accurate and timely recording of gifts in CRM and financial systems, identifying opportunities to streamline workflows and reduce manual effort      
  • Maintain compliance with donor intent, IRS regulations, and internal policies
  • Reconcile donation data between development systems and the general ledger
  • Provide backup support to Contributions Specialist and Senior Contribution Specialist to ensure timely and accurate gift entry 

Grantmaking Operations

  • Support the administration and continuous improvement of grantmaking processes,  including application intake, review workflows, approvals, and disbursements with a focus on streamlining processes and reducing manual effort
  • Track grant restrictions, reporting requirements, and payment schedules
  • Ensure proper documentation and audit readiness for all grant transactions

Automation & Process Improvement

  • Identify, design, and implement automation solutions to streamline gift, grant and fund administration workflows
  • Leverage tools such as CRM automation, workflow software, RPA (robotic process automation), and integrations (APIs)
  • Reduce manual entry, improve processing speed, and minimize errors
  • Maintain and update process documentation 

Data Management & Reporting

  • Ongoing record maintenance for Raisers Edge NXT and Financial Edge NXT 
  • Maintain high standards of data integrity across CRM and grant systems
  • Develop dashboards and reports to track KPIs (gift processing time, grant processing time, fund administration SLAs, donor trends)
  • Partner with Finance, Donor Operations and Philanthropic Advancement teams to support reporting needs and insights

Cross-Functional Collaboration

  • Work closely with Philanthropic Advancement, Finance, Legal, and IT teams to align processes and systems
  • Support audits by providing documentation and transaction detail
  • Assist in system implementations, upgrades, and integrations
Requirements

 

WHAT YOU’LL NEED FOR SUCCESS | QUALIFICATIONS


Required

  • Bachelor’s degree in Finance, Accounting, Data Analytics, Information Systems, or related field preferred
  • 2–5+  years of experience in nonprofit operations, donor operations, finance, gift processing or grants management
  • Experience with gift processing, donor databases (CRM), or grant management systems
  • Strong  analytical skills with advanced proficiency in Excel (or similar tools)
  • Demonstrated experience improving processes or implementing automation
  • Ability to work with donors, constituents and staff 
  • Ability to work with confidential and sensitive data 

Preferred

  • Experience  with CRM software such as Blackbaud (RE NXT), Salesforce, Virtuous, Bloomerang,  or similar
  • Familiarity with fund accounting principles
  • Experience with automation tools (e.g., Power Automate, Nintex Workflow Cloud, or similar)
  • Understanding of IRS regulations related to charitable contributions and grants
Salary Description
$60,000+/year depending on experience
