GENERAL PURPOSE OF JOB:
The Senior Project Manager (SPM) is responsible for full lifecycle project ownership beginning immediately after client acceptance (signed contract). The SPM leads the execution of the contract using the agreed-upon schedule, scope, and budget, ensuring every internal department aligns to the baseline project plan. This role is accountable for driving engineering, development, sourcing, and production activities using Epicor as the central platform for communication, documentation, and progress tracking. The SPM enforces scope, manages all change orders, and uses time and money as the primary tools to govern client-requested changes and to protect project profitability
ESSENTIAL DUTIES AND RESPONSIBILITIES:
To perform this job successfully, an individual must be able to perform the following:
Project Ownership & Governance
- Assume full project control immediately upon contract signature; own the project through engineering, development, production, and delivery.
- Lead by example with disciplined execution, strong work ethic, and adherence to project governance.
- Maintain strict alignment to the contract schedule, milestones, deliverables, and financial targets.
- Use Epicor as the authoritative system of record for communication, documentation, tasks, and progress measurement.
Planning, Scheduling & Cross-Functional Coordination
- Conduct internal project kickoff meetings to establish scope, timeline, responsibilities, and deliverables across all internal departments.
- Create and maintain accurate, realistic timelines and monitor performance against the baseline schedule.
- Facilitate weekly internal project meetings, documenting risks, action items, and required corrective actions to maintain on-time delivery.
- Drive timely completion of tasks across Engineering, Sourcing, Prototyping, and Production to ensure discipline in schedule adherence.
Scope, Cost, and Change-Order Management
- Ensure the project is executed strictly within the contracted scope, materials, and deliverables.
- Identify scope deviations immediately and prepare formal change orders with pricing adjustments based on material, labor, schedule impact, and other cost drivers.
- Use time and money strategically to regulate client changes-clearly communicating schedule or budget impacts before work proceeds.
- Prevent uncontrolled scope creep and ensure all work aligns to documented approvals.
Financial and Margin Accountability
- Maintain responsibility for project-level profitability, cost tracking, and adherence to budget.
- Review and report on margin performance; collaborate with Sourcing and Operations to address risks or cost variances.
- Ensure Epicor is updated with accurate pricing, cost changes, BOM updates, and routing revisions.
Communication, Documentation & Reporting
- Serve as the centralized point of coordination for all project communication internally.
- Provide recurring status updates, risk assessments, timeline reports, and required documentation to internal stakeholders.
- Ensure all project information, decisions, and changes are recorded in Epicor to maintain a complete project audit trail.
Post-Project Review & Continuous Improvement
- Conduct postmortems to review performance, margin outcomes, timeline adherence, and lessons learned.
- Develop proactive solutions and process enhancements to reduce future delays, risks, or cost overruns.
Leadership & Collaboration
- Model integrity and governance, enforcing defined project processes across departments.
- Mentor junior project managers on methods, tools, communication, scope management, and best practices.
- Participate in hiring, training, and developing PMO team members.
- Think strategically about long-term organizational improvement and PM process optimization.
Other Responsibilities
- Travel with Sales or internal teams as needed for major presentations, production reviews, or installation-related coordination.
- Perform additional related duties as assigned.
LANGUAGE SKILLS:
• English, Spanish desired
EDUCATION and/or EXPERIENCE:
- Bachelor's Degree in Business, Engineering, or related field required; or 3-8+ years of relevant industry experience.
- 8+ years of experience managing projects, pricing, costing, or quoting, preferably in manufacturing.
- 5+ years experience in retail fixtures, hospitality environments, POP, or similar manufacturing industries.
- Strong understanding of project management principles, scope control, scheduling tools, and risk mitigation.
- High proficiency in reading engineering drawings and evaluating BOMs, routings, and cost-reduction opportunities.
- Experience managing a wide range of project budgets.
- Strong proficiency in statistical reporting and margin analysis.
Required Skills
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Strong working knowledge of ERP systems, with Epicor strongly preferred.
- High understanding of warehouse, production, and inventory processes.
- Exceptional communication-written, verbal, and visual.
- Strong presentation skills for executive-level and cross-functional audiences.
- Highly analytical and process-oriented; able to identify, prevent, and resolve project delays or issues.
- Ability to maintain composure during schedule pressure, negotiations, and conflict situations.
- Effective negotiator with strong conflict-resolution capabilities.
- Demonstrated ability to hold teams accountable to deadlines, responsibilities, and scope.
- Proven ability to build collaborative, productive relationships across departments.
CERTIFICATES, LICENSES, REGISTRATIONS:
• PMP certification preferred
